Boat Liaison

Number of People: 4

Budget: $0

This job is not needed when the conference leaves on one boat, from Portsmouth NH. This is needed when the conference leaves on two boats our of Rye NH. This was a new job starting in 2005 because of the two departure times for Star Island. The boat used out of Rye Harbor is smaller than the Thomas Laighton and is limited in capacity. Each of the departures has only room for approximately 140 shoalers.

There will be 2 boat liaisons for each departure. Plan on arriving at the Rye Harbor dock at least one and a half hours prior to departure (12:30 PM for the first and 2:00 PM for the second departure). WE ARE LEAVING FROM RYE HARBOR. We are NOT leaving from Portsmouth. The job of the boat liaison is to make sure that the assigned shoalers are the ones who get on the assigned boat. In a perfect world, it should mean just checking the names off the manifest as they board.

2:00 PM Boat Liaison: Prior to reaching the dock you will be given two manifests (one for the Chairs and one for the 3:30 Boat Liaison). You will check people off the manifest as they board the boat. In the event shoaler assigned to the 3:30 boat shows up for the 2:00 PM boat, they should be placed on a standby list on a first come-first serve basis. If there is space due to an absent 2:00 PM shoaler, the standby person may board. It is highly unlikely but the Captain has the sole discretion to make spaces available above the allocation of 140. If there is no space, the standby people will need to wait for their assigned departure. Make any changes that occur on BOTH manifests. Give the copy for the 3:30 Boat Liaison to the dock pelican to give to the 3:30 PM Boat Liaison and bring the Chair copy on board. Immediately after arrival on Star Island, report to the Chairs and give them the annotated boat manifest they will deliver it to the Star Island contact person.

3:30 PM Boat Liaison: Prior to arriving at the dock you will be given a boat manifest for the 3:30 PM boat. At the dock you will receive the annotated manifest from the morning departure. Please make note of the changes on your manifest, because this will be your new boat manifest. 3:30 PM departures will be handled in the same way as the 2:00 PM departures, with the assigned 3:30 PM departure people given priority. Any 2:00 PM departure shoalers who missed the 2:00 PM boat will be given standby status on a first come-first serve basis for spaces that open up on the afternoon boat. If the allocation of 140 spaces is completely filled, it is at the sole discretion of the Captain whether any additional passengers may be accommodated. Any shoalers who do not make it onto the 3:30 PM boat will need to make their own arrangements to get to Star Island. The 3:30 PM boat liaison will, upon arrival at Star Island, report to the Chairs and give them the afternoon manifest with any additions and deletions they will deliver it to the Star Island contact person.

Please note that the boats will wait for no one and will depart on time.
